Fee and Billing Information

Consultation Fee Policy

Private professional fees apply to all medical consultations, encompassing both face-to-face in-clinic appointments and telehealth services.

To reflect the highly specialized medical care provided at our practice, individual consultation fees are determined by the consulting clinician. Fees are structured dynamically based on the following clinical criteria:

  • The Nature of the Appointment: Whether the session involves comprehensive initial diagnostic pathways, specialized developmental testing, or standard follow-up management.
  • Clinical Complexity: The depth of medical investigation, multi-disciplinary coordination, and formal reporting required for your child’s care.
  • Duration: The total time dedicated to the direct consultation, clinical evaluation, and personalized care planning.

Booking Requirements & Deposits

To secure your appointment, a deposit of 30% to 50% is required at the time of booking.

  • Cancellations: We kindly request a minimum of 48 hours’ notice (within business hours) for any cancellations or amendments.
  • Policy: Deposits are forfeited if changes are made within the 48-hour window. Please refer to our “Contact Us” page for our standard business hours. We may charge full fee for no Show or not notified 48 hours before.
  • Rescheduling: In the interest of maintaining our clinicians’ schedules, appointments may be rescheduled once only.

Payment Term

  • Settlement: Full payment is required on the day of your consultation or before the consultation.
  • Medicare: While we are a private billing practice, Medicare rebates may be claimable for eligible services.
  • Concessions: Please note that we do not offer discounted rates for Healthcare, Pensioner, or Concession card holders.

Assessment Estimates

The total cost for new consultations depends on the complexity of the referral and the number of sessions required.

  • ADHD Assessments: A standard, uncomplicated ADHD assessment typically involves 2 to 3 sessions, with an estimated cost between 1500-2000$. This includes a comprehensive assessment and  summary report.

This section is often the trickiest to phrase because you want to be firm about your time while remaining approachable. Here is a version that frames these fees as “Administrative Services” to reflect the professional effort involved.

Scope of Consultations

Our appointments are dedicated exclusively to clinical care. Non-clinical tasks—such as completing external forms, drafting support letters, or making requested phone calls—are considered separate administrative services and are not included in the standard consultation time.

Fee Structure

Administrative tasks incur additional fees, typically ranging from $100 to $200 per item. The final cost is determined by the complexity of the request and the time required for completion.

Billing & Rebates

  • Standard Forms/Letters: These fees apply regardless of whether the task is performed during or outside of your scheduled appointment. Please note that administrative tasks are not eligible for Medicare rebates.
  • Phone Consultations: If your clinician determines that a formal phone consultation is required to gather additional information, a Medicare rebate may apply to that specific call, depending on your eligibility.

Cancellation Policy

At WA Paeds, we are committed to providing timely, dedicated care to all our patients. To help us accommodate families who are waiting to be seen, we kindly ask that you review our booking and cancellation guidelines below.

  • Cancellations & Rescheduling: If you need to change or cancel your appointment, please notify us with at least 48 hours’ notice during our standard business hours (see our Contact Us page for opening hours).

  • Late Cancellations & No-Shows: Cancellations made with less than 48 hours’ notice, as well as missed appointments without notice, will result in the booking fee being forfeited.

  • Weekends & Public Holidays: Please note that our 48-hour notice period applies to business days only. It does not include weekends or public holidays. For example, if your appointment is on a Tuesday, you must cancel by the preceding Friday to avoid forfeiting your fee.

We understand that unexpected circumstances and sudden illnesses can arise. If you are unable to attend your appointment, please contact our office as soon as possible so we can help you reschedule.

Financial Policy and Payment Options

At WA Paeds, we are committed to complete financial transparency and streamlining your administrative experience so you can focus entirely on your child’s care.

Accepted Payment Methods

To facilitate a seamless settlement process, our practice accepts a variety of secure payment methods at the time of consultation:

  • Electronic Payments: EFTPOS, major credit cards, and secure online payments. We don’t accept cash.
Fee Transparency & Medicare Rebate Processing
  • Upfront Fee Breakdown: A detailed, itemised schedule of fees will be provided to you during your booking confirmation, ensuring you are fully informed of all costs prior to your scheduled appointment.
  • Instant Rebate Processing: For your convenience, our administrative team processes Medicare claims electronically at the point of care immediately following your consultation. This ensures your Medicare rebate is deposited directly back into your nominated bank account with minimal delay.
  • Medicare Safety Net: If your family is registered for the Medicare Safety Net and has reached the required calendar-year threshold, you may be eligible for significantly higher rebates, substantially reducing your out-of-pocket expenses.

Private Health Insurance Notice

Important Information Regarding Private Health Cover
  • Outpatient Medical Consultations: In accordance with Australian private health insurance legislation, private health funds are legally prohibited from covering out-of-hospital medical specialist fees (including outpatient consultations with a Consultant Paediatrician). These fees are instead subsidised by Medicare.
